If you are looking for a "giving report," a "gift report," or the old Receipts by Date / Cash Receipts by Date report for a quarter, a year, or any custom period, CoolFocus answers that with a filtered Contributions list, not with a separate Report.
Filter the list by Date Received, save it as a segment, and you have a report that you can reopen, refresh, and export any time. (Need totals and charts for a board instead of the rows? See the last section below.)
1. Go to Give → Contributions. The built-in All Contributions view opens.
2. Click Filter above the list.
3. Add a condition: pick the Date Received field, choose Between..., and enter the first and last day of the period.
Prefer a rolling period instead? The same menu offers presets such as **This quarter**, **Last quarter**, **Q1 last year**, **This year**, **Last year**, and **Year is...**. A preset moves forward on its own every year; **Between...** stays pinned to the dates you typed.
4. Add a second condition: pick Refunded, then No / Unchecked. The old Receipts by Date report left refunded gifts out; without this, a refund in the period stays in the list and the Excel export, and the total is too high.
5. Optional: click Columns to add or reorder fields such as Fund, Source, or Tender Type, and click a column heading to sort. See Adding and Customizing Columns in a List.
6. On the right side of the filter bar click Save As.... In the Save Segment window type a Segment Name (for example Giving Q1 2025), check Make this segment private only if nobody else should see it, and click Save Segment.
7. To get the list into a spreadsheet, click Actions → Export to Excel. The export uses the filter you applied, so only that period's gifts are included.
Your segment now lives in the segment picker on the Contributions list, not under Reports. Open it any time; it always shows the current gifts for that period. The Contributions list also ships with two starter segments built the same way, Today's Contributions and Recent Contributions (last 7 days), if you want to see the pattern first.
The old Receipts by Date PDF report is gone too, but the segment from the steps above gives you the same PDF, one receipt per contribution, generated in a single file:
Open the segment you just saved (with the Date Received and Refunded → No filters).
Click Print above the list and choose Documents.
Choose the Gift Receipt document template.
Fill in anything the template asks for and generate.
CoolFocus builds one combined PDF with a receipt for every contribution in the segment. Download it once it's ready, or grab an individual recipient's copy later from their activity history. See Printing, Labels & Envelopes for more on the Print dropdown, including what happens with large segments.
Need to resend just one receipt, for example a donor lost the email? Open that contribution record and resend the receipt from there instead of rebuilding the segment. See Gift Receipts.
Q1 2025 is January 1, 2025 through March 31, 2025.
1. Give → Contributions → Filter.
2. Date Received → Between... → January 1, 2025 and March 31, 2025.
3. Refunded → No / Unchecked.
4. Save As... → Segment Name Giving Q1 2025 → Save Segment.
5. Actions → Export to Excel if your accountant or board wants the spreadsheet, or Print → Documents with the Gift Receipt template for one combined PDF of every receipt in the quarter.
Because presets roll forward over time, the Q1 last year preset returns the same gifts only while it still means 2025. Use Between... with explicit dates for anything that must stay pinned to a specific year.
If the question is "which donors gave in Q1?" rather than "which gifts came in?", build the same date condition on the Donors list so each donor appears once no matter how many gifts they made:
1. Go to Give → Donors and click Filter.
2. In the field picker, look under Related and choose Contributions.
3. Choose Filter by Contributions fields..., pick Date Received, then Between... and enter the first and last day of the period. To leave refunded gifts out, add Refunded → No / Unchecked as a second sub-condition on the same Contributions condition (not as a separate condition, or a donor with a refunded gift in the period and a real gift outside it would still match).
4. Save As... → Segment Name (for example Donors who gave Q1 2025) → Save Segment.
This is a related-record condition: CoolFocus checks each donor's contributions and keeps the donors with at least one gift dated inside the range. It is different from filtering the Donors list by Last Gift Date, which only looks at each donor's most recent gift. See Filtering by Related Records for the other related-record conditions (gift count, total amount, and so on).
If a top-contributors report or dashboard is unavailable, or you just want a list you can reopen anytime, build it from the Donors list instead:
Go to Give → Donors.
Click Columns and add YTD Total if it is not already showing.
Click the YTD Total column heading to sort donors from highest to lowest.
Optional: click Filter, add a condition on YTD Total, choose Greater than..., and enter a minimum amount to narrow the list to your largest supporters.
Click Save As..., name it something like Top Donors 2025, and click Save Segment so you can reopen the same ranked list later.
YTD Total adds up each donor's gifts for the current giving year, the same figure used on LYBUNT/SYBUNT and the {{ YearToDateTotal }} merge field. It depends on the Current Year Begin and Current Year End dates at Settings > Giving Info, so check those first if totals look low or unchanged. See "Year-to-date totals depend on the Current Year setting" in Donors and Contributions.
This ranks donors by everything they gave this year, across every fund. To rank by a single fund and year instead, use the Contributions-based method below.
The
Top Donors by Perioddrill-down does not currently limit results to the fund or period you clicked, it lists donors from outside that fund and period too. Until that's fixed, build the ranked list yourself with a Contributions segment.
Go to Give → Contributions and click Filter.
Add a condition on Date Received, choose Between... (or the Year is... preset), and enter the year you want.
Add a second condition on Fund, choose is, and pick the fund.
Add Refunded → No / Unchecked so refunded gifts don't inflate a donor's total.
Click Columns and make sure Donor and Amount are shown, then click the Amount column heading to sort largest to smallest.
Click Save As..., name it something like Top Donors - Building Fund 2025, and click Save Segment.
This gives you the same answer the drill-down is meant to show: gifts to that one fund, in that one year, ranked by amount, and you can reopen or refresh the segment any time.
A segment is the working list: the gifts (or donors) themselves, ready to sort, export, or act on. When you need the totals, trends, or a PDF for a board meeting rather than the rows, open Reports → Giving Summary (or Giving Trends), set the Date Range chip to the same period, and export the Dashboard to PDF.
