How donor relationships, contributions, funds, recurring gifts, and fundraising records fit together.

Giving Overview

Giving helps your organization manage donor relationships and donation activity. Use this area for fundraising records and reporting. Use CoolPay when you need online giving setup, payment transactions, text-to-give, or payout reconciliation.

Main records

  • Donors: people or organizations that give financial or in-kind support.
  • Contributions: individual donation transactions, whether entered manually, imported, or created from online giving.
  • Funds: the purpose or account a gift is directed to.
  • Recurring Contributions: ongoing scheduled giving commitments.
  • Pledges: promised gifts that may be fulfilled over time.
  • In-kind Gifts: non-cash donations such as goods, supplies, or services.
  • Sources and Campaigns: context for where gifts came from and why they were given.

Recommended workflow

  1. Keep donor records clean and deduplicated.
  2. Confirm funds are active and named clearly.
  3. Enter or review contributions with the correct donor, fund, source, and received date.
  4. Track recurring gifts, pledges, and in-kind gifts in the right record type.
  5. Use reports for giving totals, campaign results, and date-range summaries.

Giving versus CoolPay

Giving answers questions such as "who gave," "what fund did it support," and "what should be reported or receipted." CoolPay answers questions such as "which online form was used," "did the card or ACH payment succeed," and "which payout deposited into the bank."

Privacy reminder

Giving records can include financial and contact information. Follow your organization's policy before exporting or sharing donor data.
