When you filter a list and arrange the columns the way you want, CoolFocus lets you save that setup so you can open it again in one click. In CoolFocus, that saved view is called a segment (not a separate item under Reports). Use the exact buttons below.
Short version: On a list, click Filter, set your conditions, adjust Columns if needed, then click Save As Segment. In the Save Segment window, type a Segment Name, optionally check Make this segment private, and click Save Segment.
1. Open the list you care about (for example Give → Donors, Care → Clients, or Contributions).
2. Click Filter above the list.
3. Add the conditions you need (field → condition → value). Use Match all or Match any when you have more than one condition. See "How do I find...?" with Filters.
4. Optional: click Columns to show, hide, or reorder fields. See Adding and Customizing Columns in a List.
5. Optional: click a column heading to sort.
6. On the built-in All ... view (for example All Donors), look at the right side of the filter bar and click:
• Save As... when you have filters (or filters plus column changes)
• Save Grid As... when you only changed columns/sort and did not add filters
7. The Save Segment window opens. Fill it in:
• Segment Name — type a clear name (for example Monthly donors or Clients needing follow-up)
• Make this segment private — check this if only you should see it; leave it unchecked so your whole organization can use it
8. Click Save Segment (or Cancel to back out).
CoolFocus then opens your new segment. Your filter (which records) and column layout (how they show) are kept with that name.
If you change columns, sorting, or filters on an All ... view, a banner may appear above the grid:
Unsaved view, save as a segment to keep these grid changes after refresh.
Click Save as segment in that banner, then complete the same Save Segment window (name → private optional → Save Segment).
1. Open the list and pick your named segment from the segment menu (not the built-in All ... view).
2. Change filters and/or columns as needed.
3. On the right side of the filter bar, click:
• Save when filters changed
• Save Grid when only columns/sort changed
4. To create a second segment from this one without overwriting it, click the green duplicate icon (tooltip Save a Copy), then name the copy in the dialog.
On a named segment, the Save Segment window can also offer:
• Save as new segment
• Update current segment "…"
Then Save Segment or Update Segment.
• Your saved view lives on that same list, in the segment picker / sidebar for that list.
• It does not appear under the main Reports area. Reports is for CoolFocus’s ready-made reports (Giving Summary, Center Statistics, and so on).
Example: a segment saved on Donors only shows under Donors. It will not show on Clients or under Reports.
• Segment — your named filter + layout on a day-to-day list. Best for “show me this group again” and for exporting that list with Export to Excel.
• Built-in report — a ready-made report under Reports, with parameters (often a date range), and often Dashboard / Data / Trends views. See Running a Report and Reports by Area.
