Keyboard Shortcuts and the Command Menu

Use the command menu (Cmd/Ctrl+K) and keyboard shortcuts to navigate, search records, and take common actions without the mouse.

CoolFocus has a command menu and a keyboard shortcuts panel so you can move around and take common actions without the mouse. What you see depends on where you are in the app — for example, Inbox has extra shortcuts, and list views with a quick-search box show grid shortcuts.

Opening the command menu

Press Cmd+K (Mac) or Ctrl+K (Windows/Linux) anywhere in CoolFocus. Type to filter the list, then select an item or press Enter to run it.

Results are grouped in this order:

  1. Create commands and actions — options tied to the module or record you’re on (for example, create a new client or gift, or compose a message in the Inbox).

  2. Navigation — a Go to [Module] entry for every module you can open (based on your sidebar and permissions). The module you’re already in is left out.

  3. Shortcuts — open the full Keyboard Shortcuts panel.

You only see modules and create actions your account is allowed to use.

Recent and pinned records

When you open the command menu with little or no text (fewer than 2 characters) while you’re in a module that has a primary person record (such as Donors, Clients, Staff, Volunteers, or Contacts):

  • Pinned — records you’ve marked as favorites (shown first)

  • Recent — records you’ve opened recently in that module, newest first

Hover a Recent item and click the pin icon to pin it; click again to unpin. Pinned and recent lists are yours only — teammates don’t see them. As soon as you type enough characters to search, these groups are replaced by matching results.

Finding records from the command menu

Type at least two characters and CoolFocus also searches records for the module you’re in (not only commands). Matching records appear at the top. Select one to open it.

Commands and Create actions are filtered to match what you typed as well. Modules without a primary person-style record (such as Schedule or Inbox), and screens where a mailbox is open, only show commands — not record search.

Quick actions on module lists and records

  • On a module list (Give, Outreach, Serve, and others), you’ll see quick-create options when your permissions allow them — for example New Contribution, New Pledge, Client Intake, or Clock In.

  • On a record, you’ll see create actions for related child records already linked to that parent (for example New Contribution on a donor, New Request on a client, Clock In on a staff record).

  • On any record, you can also run Export Activity (download that record’s activity history) and Merge when that record type supports merging. See Merging Duplicate Records.

Viewing available shortcuts

Press Cmd+/ (Mac) or Ctrl+/ (Windows/Linux) to open the Keyboard Shortcuts panel. It lists every shortcut available on your current screen, grouped by area, with a search box.

You can also open it from your account menu: click your avatar, then Keyboard shortcuts.

Show or hide a module’s list-view sidebar

Inbox is the only module with a dedicated letter shortcut (G then I). For every other module you can access, use the command menu’s Go to… entries under Navigation.

Grid shortcuts

On list/grid views that have a quick-search box:

This only searches within the list you’re viewing. Use Cmd+K / Ctrl+K to search or jump across the whole app. This shortcut only appears in the shortcuts panel when a grid quick-search box is on screen.

How shortcuts behave

  • Single-key shortcuts (like N, J, K, and R) are ignored while your cursor is in a text field, so typing a message won’t trigger them.

  • Multi-key shortcuts like G then I are chords: press the first key, then the second within about a second.

  • Cmd+K, Cmd+/, Cmd+F, and Cmd+B (and their Ctrl equivalents) still work while typing.

  • Navigation entries match what your account can see. If your account is limited (for example, reviewer-only), you’ll only see the modules for that role.

  • More shortcuts and quick actions may be added over time. The command menu and shortcuts panel always show what’s available on your current screen.
