The Help button (the CoolFocus chat bubble in the bottom-right corner) is the fastest way to get answers while you work. You can chat for support, browse help articles, watch videos, submit feature ideas, and see what is coming next—without leaving CoolFocus.
1. Sign in to CoolFocus as yourself.
2. Look for the CoolFocus bubble in the bottom-right corner of any page.
3. Click it to open the help panel.
If you do not see the bubble, try a hard refresh, turn off ad blockers for CoolFocus, and confirm you are signed in on your own login. You can also open the full help site anytime at https://docs.coolfocus.app and bookmark it for future reference.
When you open chat, a help bot usually answers first. Talk to it the same way you would talk to a person on your team.
• Type a normal question in plain language.
• Add a follow-up if the first answer is close but not quite right.
• Ask “what should I click?” or “where is this setting?” the same way you would ask a teammate.
You do not need special wording. Everyday conversation works best.
The more useful detail you include up front, the more likely you are to get a clear answer quickly—and the less back-and-forth you will need.
Helpful details often include:
• What you were trying to do
• What you expected to happen
• What happened instead (exact wording of an error, if any)
• Which screen or menu you were on (for example Settings → Plan & Billing, or Inbox)
• Who is affected (one user, one client, the whole center)
• Roughly when it started
• A screenshot when something looks wrong on screen
Short questions are fine to start. If the bot asks for more information, answering those follow-ups usually speeds things up.
You can always ask to talk to a person. Our support team is glad to help.
Say something simple like:
• “Can I talk to a human?”
• “Please connect me with support.”
• “I still need help from your team.”
We are happy when the bot solves something quickly, and we are just as happy to step in when you need a person. Do not hesitate to keep asking the bot questions in normal conversation—that often gets you unstuck faster than waiting for the next human reply on a simple how-to.
Tip: If support needs to see exactly what you see, they may send a screen recording link. That is optional and only starts after you open the link they send and allow recording. See Screen Recording Links from CoolFocus Support.
Inside the help panel, open Docs (Help Center) to browse and search written guides.
• Articles are grouped by topic (Getting Started, Care, Inbox, Scheduling, Giving, and more).
• Use the search box when you know the topic (for example “time sheets,” “appointment reminders,” or “CoolPay”).
• Note the article titles that have a “>” to the right side. That means there are more articles within this subject—just click the arrow to display the additional titles for even more information.
• Some articles include videos or interactive walkthroughs right in the page or via a linked demo.
• We add more videos over time as they are recorded—check back, and watch for new walkthroughs under training-related articles.

CoolFocus does not offer one-on-one live demos at this time. For a walkthrough of the product, start with the self-guided videos in CoolFocus Training Videos, or ask the help bot to point you to the written guide for what you are trying to do.
Group training for staff and volunteers is offered as a webinar session rather than a live one-on-one demo. When a webinar training session is scheduled, WayCool sends the date and sign-up details to your organization's administrators, who can then share the invitation with staff and volunteers.
If your organization has not received a training invitation, ask an administrator to check for it (including spam or junk folders), or ask the help bot to connect you with support to confirm what is scheduled.
Open Feature requests (sometimes labeled like a roadmap or ideas list) when you want CoolFocus to do something new or differently—not when something is broken today.
1. Open the Help bubble.
2. Choose Feature requests.
3. Search first to see if someone already requested the same idea.
4. If it already exists, open it and vote (and leave a short comment if you want to explain your use case).
5. If it does not exist, create a new request with a clear title and a short description of the problem you are trying to solve.
• Each vote shows the CoolFocus team that more centers care about that idea.
• Higher interest helps us prioritize what to build next. It is not a guarantee of a ship date.
• When an idea moves forward, status updates often appear on the request so voters can see progress.
• Voting does not replace support chat for bugs, billing questions, or “how do I…?” help.
Good feature request: “Allow exporting visit notes for a date range so we can prepare board reports.”
Better as a chat question: “I can’t find where to export visit notes—can you show me?”
Depending on what is turned on, the same help panel may also include:
• Chat / Support — ask questions, report problems, and get help (bot first, human when you need one)
• Docs — searchable help articles and videos
• Feature requests — submit ideas and vote on others’
• Changelog (when available) — recent product updates and improvements worth knowing about
You can move between these areas from inside the panel without losing your place in CoolFocus.
• Prefer the Help bubble for day-to-day questions while you work in CoolFocus.
• Be specific; screenshots and error text save time.
• Search Docs before or after chat—many answers are already written with step-by-step paths.
• Use Feature requests + votes for product ideas; use chat for problems and how-tos.
• Ask for a human anytime—you are not “bothering” the team by doing that.
