The Scheduler Report is a printable schedule: every appointment in a date range, grouped by day, laid out as a landscape sheet you can hand to the front desk, tape to the nurse's door, or give to a volunteer who does not log in to CoolFocus.
If you used PCC Reports > Schedule in CoolFocus 3, this is that report. The same filters and the same columns are here, plus a few things the old one could not do.
Open Scheduler and click the Report tab.
You can also get there from the List tab: click Print report in the toolbar. The Report opens on its own default range (today); it does not carry over whatever filters you had applied to the list.
Everything you need is in the bar at the top of the Report tab.
Date range. Set a Start date and End date, or click one of the presets:
Weeks start on Sunday, matching the Scheduler calendar. The presets are relative, so a bookmarked "Next week" link still shows next week when you open it next Thursday.
Filters. Narrow the sheet with any combination of:
Leave a filter empty to include everything.
Your choices are saved in the page address, so you can bookmark a particular report (for example, next week at one location) and reopen it in one click.
Appointments are grouped by day, with a count for each day and a grand total at the top. Each row shows:
| Column | What it is |
|---|---|
| Start / End | The appointment's start and end time |
| Location | The center or site |
| Resource | The room, equipment, or staff pool booked |
| Appt Type | The appointment type, with its color swatch beside the name |
| Name | The client |
| Phone | The client's phone number |
| Birth Date | The client's date of birth |
| Status | The appointment status, shown as a colored pill |
The appointment-type colors and status colors are the same ones you see on the Scheduler calendar, so a printed sheet reads the way the screen does.
The CoolFocus 3 printout had a Subject column. This sheet does not, by design.
In CoolFocus 3 the subject line was free text, and in practice it filled up with client names, appointment types, and staff schedules — information that belongs in real fields, and that no center wants appearing on a shared screen, a printed schedule, or a synced calendar. CoolFocus 5 books against structured data instead and fills the subject with the appointment type name automatically, so on the old printout that column had become a second copy of the appointment type: "Ultrasound" printed beside "Ultrasound."
That space now goes to End Time, Phone, and Birth Date, which is what centers asked for.
If what you want is control over what staff see at a glance on the calendar, use Scheduler card display on the appointment type. See Client Name Display Options on Scheduler Cards.
Click Print to open your browser's print dialog. Only the sheet itself prints; the filter bar and the rest of the CoolFocus screen are left out. Column headings repeat at the top of every page when a busy day runs long.
The sheet is set to landscape automatically. If your printer dialog shows portrait, switch it to landscape so the columns fit without wrapping.
To save a PDF instead of printing on paper, choose Save as PDF as the destination in the print dialog.
A single sheet shows at most 2,000 appointments. If your range has more, CoolFocus shows the first 2,000 and tells you how many were left out. Shorten the date range or add a filter to print the rest.
