CoolFocus lets you email and print to the people in your database — a whole group at once or one person at a time — using reusable templates. This is how you send giving statements, thank-yous, receipts, letters, and any other correspondence, all recorded back on each person's history.
• A whole segment — build a segment (for example, "donors who gave this year"), then use its Email or Print action to send to everyone in it.
• One person — open a donor or contact record and use the Email or Print action right there.
Either way, you pick a template, fill in anything the template asks for (like a date range), preview, and send. Sent emails and printed documents are saved as activity on each person's record.
• Emails — one-off or to a whole segment, from a template.
• Giving statements — year-end or any-period contribution summaries, emailed or printed, for a segment of donors or a single donor.
• Gift receipts — automatic receipts for online gifts, plus resend when needed.
• Printed documents, labels & envelopes — letters and statements as PDF, plus mailing labels.
All of it runs on templates you can customize.
CoolFocus does not have a standalone public opt-in form that visitors fill out on their own to join a mailing or texting list. See Public Opt-In Forms for Newsletters and Texting for what exists today and how organizations build a list from an outside sign-up form.
• Emails send from your organization's verified email; if one isn't set up yet, a default sending address is used.
• Recipients without a valid email (for email) are automatically skipped, and everything sent is logged so you have a record.
• Handle exported or printed files per your organization's privacy policy.
