Staff & Time Sheets Overview

Staff & Time Sheets pages help your team organize the people who serve your organization and the hours they give.

Serve includes two person lists under this area:

  • Volunteers: community members who serve your organization

  • Staff: paid staff or employees

Use the involvement checkboxes on a person record to mark someone as a Volunteer and/or as Staff. A person can be both.

  • Volunteers - community volunteers who serve your organization.

  • Staff - paid staff and employees.

Each person record has its own Volunteer and Staff involvement flags, so someone can be marked as a volunteer, staff, or both. Time Sheets, Mentoring, and position assignments work the same way for either group, a single "Staff / Volunteer" picker is used when logging hours or assigning a mentor so you don't have to remember which list someone is in.

Volunteers vs. Staff lists

Serve shows two separate lists:

  • Volunteers: people whose person record has the volunteer flag turned on.

  • Staff: the broader staff list, which is not filtered to the volunteer flag.

A person can show up on one list, the other, or both, depending on how their record is flagged. If a volunteer isn't showing up where you expect, check that their person record has the volunteer flag set.

Dashboard

The Serve dashboard gives you a quick snapshot of serving activity for the selected date range and program filters. Its summary cards include:

  • Active Volunteers: people flagged as volunteers flagged as volunteers who have recorded service hours in the selected range. People who logged hours but are not flagged as a volunteer on their record are not counted here. Click the card to open the volunteers list filtered to that range. Click the card to open the Volunteers list filtered to those people.

  • Training Complete: volunteers who have the Training Complete checkbox checked on their record. To log individual trainings or events, use Event & Training Participation on each staff record (see the Staff article). Click the card to open the volunteers list filtered to those records. Click the card to open the Volunteers list filtered to those people.

  • Mentoring Sessions: the count of mentoring sessions logged in the selected date range and programs. Click the card to see the underlying mentoring records.

Use Open volunteer summary below the KPI cards to jump straight to the volunteer summary report for the same date range and filters.

The dashboard's "Open volunteer summary" report link also opens the Volunteers list, so the numbers you see on the dashboard match what you find when you drill in.

If a saved segment looks empty or is missing

Staff and Volunteers used to be a single combined list, then were split into two separate lists. If your organization has segments that predate the split, they may still be attached to the wrong list. If a segment under Staff shows zero people, or a segment you expect under Volunteers isn't there, contact support so we can move it to the correct list.

Best Practice

Keep perpeople and volunteer information current so coordinators know who is available, what they can help with, and how they have served. Make sure anyone who serves as a volunteer has the volunteer flag set on their record, otherwise their hours won't count toward the Active Volunteers KPI. When adding a new person, choose Staff or Volunteers based on whether they are a paid employee, not just whether they serve regularly.
