Before CoolFocus can turn on text messaging for your organization, carriers require an approval process called A2P / 10DLC (Application-to-Person messaging on 10-digit long code numbers that businesses use to send text messages in the United States).
U.S. mobile carriers (Verizon, AT&T, T-Mobile, and others) use this process to differentiate legitimate business texts from spam and to filter or throttle unregistered traffic. CoolFocus walks you through this registration process in the guided texting setup, from Settings → Phone. Texting setup is temporarily paused while we move to a new phone provider — if you cannot find it, nothing is wrong with your account. Registration for the The Campaign Registry requires three documents. This article covers only #3:

Verbal permission for text messages is usually not enough for approval by The Campaign Registry, unless it is followed by a signed or link-based consent form you can show the reviewers. People can always reply STOP to opt out and HELP for help. CoolFocus records those keywords automatically.
Carriers approve the campaign based on how end users consent to receiving texts. Just stating, "We text clients," is also not enough. You must show a verifiable opt-in process — typically a Client Texting Consent Form or equivalent public proof — and keep consent records in CoolFocus.
Messaging consent should be its own clear choice — not buried inside long Terms, Privacy Policy, or unrelated agreements.
Explicit SMS messaging consent
Message frequency - how often clients can expect to receive text messages (if frequency varies based on their need, you can state that)
Opt-in instructions (how they agree to receive text messages)
Opt-out instructions (for example, reply STOP to unsubscribe, or HELP)
Do not use CANCEL as an opt-out word. Clients who reply Cancel to an appointment reminder can inadvertently opt out of future texts. Use STOP for opt-out instead. CoolFocus templates use START, STOP, and HELP only.
If possible, add a checkbox or a clear acknowledgment line specifically for SMS messaging, even on a paper or PDF form. That makes it much easier for The Campaign Registry reviewers to approve.
If your Texting Consent Form is not already a public link on your website:
1. Upload the file (Word, PDF) to Google Drive, or create a Google Doc/Sheet with the form text.
2. Open the file → Share → under General access, choose Anyone with the link → Viewer.
3. Copy the link. Open it in a private/incognito window to confirm no Google sign-in is required.
4. Paste that public link into CoolFocus on the Legal pages step of texting setup (Settings → Phone → Set up texting) as Texting Consent Form URL.
Important: Privacy Policy and Terms should still live on your website when possible. Shared document hosts are mainly acceptable for the Client Texting Consent Form / proof, not as a substitute for Privacy and Terms on your domain.
Campaign Registry reviewers want to see all of the following:
The person takes a clear, intentional action: checks a box, signs a form, texts START, or completes a published consent page.
You cannot use a first unsolicited text to ask them to opt in.
SMS consent should not be only "by using this website you agree to everything." A dedicated SMS checkbox or consent statement is preferred.
If you use a checkbox or toggle, it should default as blank/off. Pre-checked consent is a common rejection reason.
Near the checkbox or on the consent page, tell people:
• Who is texting (your public organization name)
• What kinds of messages they will receive
• Message frequency - how often you will text them (if it varies based on their need, then you can state that frequency will vary)
• Message and data rates may apply
• Reply STOP to opt out; reply HELP for help
• SMS consent / mobile numbers are not shared or sold to third parties for marketing purposes
• Link to Privacy Policy and Terms
• Consent is not a condition of receiving services (recommended)
Provide a public consent proof URL: live web form, CoolFocus Stable Proof Link, publicly viewable screenshot/video of the intake flow, or a clear scan of your Client Texting Consent Form. Login walls and private Google Docs often fail. Use the Google share steps above so anyone with the link can view (without a sign-in).
You may adapt language like this next to your SMS checkbox, on your consent page, or on a signed form (examples only):
