Customizing Intake & Secure Message Templates

Your organization can customize the wording of two system-generated client messages. Both are organization-wide: once saved, they apply to every message of that type your team sends, for every user.

Intake & Consent Message

Found at Settings > Intake & documents > Intake Message.

This controls the intro copy clients see when your team sends them forms and consents to complete ahead of an appointment (see Viewing submitted intake forms from an appointment). You can customize three fields:

  • SMS intro - shown before the form links in the text message.

  • Email intro - shown at the top of the email body.

  • Email subject - your organization name is appended automatically.

Use the merge field {Appointment} in any of these to insert the appointment's description.

Secure Message Invite

Found at Settings > Communication > Secure Message Invite (requires the Inbox module).

This controls the text of the invite sent when your team starts a secured message conversation with a contact, the SMS that asks the contact to securely log in and read a sensitive message. Use these merge fields in the message body:

  • {OrgName} - your organization's name.

  • {Link} - the secure link the contact uses to log in and read the message.

The built-in default reads: "You have a new message from {OrgName} {Link} ; Reply STOP to unsubscribe."

How editing works

Both settings pages work the same way:

  • Each field has an English version plus optional translations for any other languages your organization supports. Use the translate button to generate a starting translation, then adjust as needed.

  • Leave a field blank to fall back to the built-in default for that language. The default text shows as placeholder copy in the empty field so you can see what will be sent.

  • Only fields you actually customize are saved, blank fields stay blank (using the default) rather than saving empty text.

  • Click Save to apply your changes. Changes take effect for messages sent after saving; they do not change messages already sent.
