Visit statuses are the stages clients move through on the Visit Board — for example arrived, lobby, in a room, with an advocate, and complete. You can rename them, reorder them, set colors, and match them to how your center runs.
1. Open Settings from the main navigation (gear icon).
2. Under Modules, open Scheduler Settings.
3. In the left sidebar, open the Visit Board group.
4. Select Visit Statuses.
You can also open Scheduler, use the scheduler settings panel, go to the Visits area, and choose Manage Visit Statuses (admins only).
Visit Board settings live under Scheduler Settings, not Care Settings.
• Scheduler Settings — appointment types, locations, intake & documents used with scheduling, and Visit Board → Visit Statuses.
• Care Settings — Care/client configuration such as client portal branding and chart templates.
If you are looking under Care Settings and do not see Visit Board, switch to Settings → Scheduler Settings.
On the Visit Statuses page you can:
• Add a new stage (name, color, and whether it is active).
• Rename an existing status so the board matches the language your front desk already uses.
• Reorder statuses so the board reads left-to-right in the order clients usually move through your center.
• Deactivate a status you no longer want on the board (it stops appearing as a column / choice without deleting history).
Only administrators can open Manage Visit Statuses. Other staff still see the board columns your admin set up.
Visit statuses organize the front-desk flow. They do not sign a chart document or complete an ultrasound Doc Alert. Review status is managed in the visit's Ultrasound section and Approvals.

• Keep stage names short and recognizable for front-desk staff.
• Reorder so the board matches real walk-through order (check-in → waiting → room → complete).
• After you save changes, refresh or reopen the Visit Board to confirm the columns match.
• Use Open Visit Board on the Visit Statuses page when you want to spot-check the board right away.
