Adding and Customizing Columns in a List

Show a field that isn't in your list yet (like Primary Email) by adding it as a column — plus reorder, remove, and how column changes are saved.

Every list in CoolFocus — Donors, Clients, Contributions, Recurring Contributions, Contacts, and the rest — shows a default set of columns. If a field you care about isn't showing (a common one is Primary Email on the Donors or Recurring Contributions list), you don't need a report or support — you add it as a column yourself.

The short version: click the Columns button above the list, search for the field, and check it. It appears in the grid right away.

Add a column that isn't showing

  1. Open the list (for example Donors or Recurring Contributions).

  2. Click the Columns button above the list (near Filter and Export to Excel).

  3. Start typing the field name to search — for example Email.

  4. Check the field (such as Primary Email) to add it. Uncheck a field to remove it from the grid.

  5. Close the Columns panel. The new column is now part of the list.

If a value looks blank after you add the column — for example Primary Email shows empty even though the person has an email — that usually means the address on the record isn't marked as the primary one. Open the record and confirm which email is set as primary.

Reorder and remove columns

  • Reorder: drag a column heading left or right to the position you want.

  • Remove: either uncheck it in the Columns panel, or use the column heading's menu.

  • Sort: click a column heading to sort by it (click again to reverse). Sorting is about ordering rows, not choosing columns — see Finding Records with Filters.

Your column changes are saved automatically

While you're viewing a segment you saved (a named view like "Monthly Donors"), your column choices — which columns show, their order, and column-level sorting — are saved to that segment automatically a couple of seconds after you make them. There's no separate "save layout" step, and the layout is there next time you or a teammate opens that segment.

This auto-save only applies to named segments you've saved. The built-in "All …" view (like "All Donors") always shows CoolFocus's default columns and doesn't remember per-user changes. So if you want your customized columns to stick, save your view as a segment first, then arrange the columns.

Getting your columns into a spreadsheet

Export to Excel exports the list with the columns you currently have showing, in their current order, with your current filter and search applied. So set up your columns first, then export. See Finding Records with Filters for details on exporting.
