User Logs

User Logs

User Logs gives administrators a single, unified timeline of staff activity: sign-ins, clinical record access, and record changes. It brings together information that used to live on two separate settings pages into one view, so you can answer "what did this person do?" in one place.

Where to find it

  • Open Settings, then go to Security and choose User Logs.

  • You can also jump here for a specific person from their account: open Settings > Security > Users, open that user, and choose View activity log from the Quick Actions menu. When you arrive this way, the log opens filtered to that user.

  • If you have an old bookmark or link to Settings > Security > User Access Log, it will redirect you to User Logs automatically.

What you will see

Each row includes:

  • When the event happened.

  • User the event belongs to.

  • Category:

    • Sign-in:, login and related authentication activity.

    • Record access:, clinical chart-detail and review-sheet opens.

    • Record change:, a summary of field-level edits,, for example, "2 field(s) changed.."

  • Action describing what happened.

  • Record type and Surface, when the event is tied to a specific record,, such as a chart or visit, and the surface it was viewed from,, chart detail or review sheet.

  • Detail with any extra context.

Open a row for more detail

Double-click any row to see structured detail for that event:

  • Record change rows open the field-level change detail, showing exactly which fields changed and their before or after values.

  • Sign-in rows open an event detail page with the user, when it happened, IP address and IP source, event source and type, and when available, the user agent and session ID.

  • Record access rows open an event detail page with the user, when it happened, record type, record ID, surface, and action.

Filter and search and saved views

  • Use the search box and column filters to narrow the log. You can filter by date range on When, by Category, by User, and by other columns like Action, Record type, Surface, or Detail.

  • Save frequent filters as segments using the grid menu, then reopen them quickly from the segments list. To edit or manage saved segments, open the menu and choose Manage Segments.

  • If you came from a user's profile, you are viewing that user's activity only. Switch to the All view to save or edit segments.

Tip: You can save commonly used filters as a segment for quick reuse. When you arrive from a user’s Quick Actions link, the page shows a per-user view that cannot be renamed or managed.

Scope

User Logs includes:

  • Sign-in events.

  • Chart-detail and review-sheet opens.

  • Field-level record changes, summarized in the list and fully detailed when you open a row.

It does not include segment views of ot or her modules, or legacy CF3 access.

Results are capped at 1,000 events per request. If your filters return more than that, the log shows the most recent events and flags the results as truncated. Narrow your date range to see everything.

Notes

  • You cannot add or edit log entries here.

  • Grouping is not available on User Logs.

How this relates to other logs

  • Security Log covers sign-in, logout, and IP-denial history only.

  • User Logs unifies sign-in activity, clinical record access, and field-level record changes, and lets you drill into a single user.

  • The Chart Access Log report, in Reporting, still covers detailed chart-detail and review-sheet opens for compliance reviews. A note on that report points here for sign-in and record-change history.
