Notifications Overview

Notifications keep you and your team aware of what's happening in CoolFocus — a new message in the Inbox, a gift that came in, a task assigned to you. You're in full control of what you're notified about, how you're notified, and how often.

Notifications are opt-in. Every channel starts turned off for every event, for every user, including admins. Nothing is sent until you turn a channel on for the events you care about. Manage everything from yofrom your profile menu → Your nour notifications (avatar in the sidebabar).

The three things you control

  • What — which events notify you (a new message, a new contribution, a completed task…). See Choosing What You're Notified About.

  • How — which channel each one uses: In-App, SMS, or Email (and mobile push if you use the app). See Notification Channels.

  • How often — right away, or bundled into a daily or weekly digest. See Notification Timing & Digests.

Two kinds of notifications

  • System notifications — the built-in events CoolFocus already knows about, organized by area (Inbox, Give, Scheduler, and more). Every one of these starts off; you switch on the channels you want per event.

  • Custom notifications — your own watch rules. Tell CoolFocus "notify me whenever a contribution over $5,000 comes in" and it will. This is the powerful part.

Where notifications show up

  • In-app: the bell icon at the top right, with an unread count. Click it to see recent notifications and jump to the record.

  • Email / SMS / mobile push: delivered to you wherever you are, based on your channel choices.

Good to know

  • Your notification settings are personal — changing them affects only you, not your teammates. There is no center-wide master notification matrix for staff. There is no center-wide master notification matrix for staff.

  • Some events are visible only to admin users (like payment failures). Being an admin does not turn any channel on automatically, admins opt in the same way everyone else does.

  • Some notification wording is organization-wide instead of personal - for example, the Intake & Consent Message and Secure Message Invite templates clients receive. See Customizing Intake & Secure Message Templates.
